Spooky Mishaps: Real Event Nightmares & How We Handle Them

Welcome to the spooky side of event planning!

Not the ghosts, haunted houses, or things that make strange noises in the night. We’re talking about the real event-planning nightmares: missing rentals, last-minute cancellations, and technology that suddenly decides it doesn’t want to work.

If you’ve planned enough nonprofit events, you know that something will inevitably go wrong. No matter how detailed your timeline is or how many times you’ve confirmed with your vendors, there will always be a moment when someone looks at you and says, “We have a problem.”

The good news? Most problems have solutions.

The trick is not to panic, point fingers or spend precious time figuring out exactly how something went wrong. It is to stay calm, assess the situation and focus on finding a solution.

Here are a few of our most memorable event-day horror stories—and what they taught us.

👻 The Great Napkin Mystery

Picture this: nearly 500 guests are about to arrive. The room is being set, the timeline is moving, and everything is coming together beautifully.

Then the hotel catering team came to us with some unexpected news. They had received 40 napkins for an event with nearly 500 people. Naturally, we called the rental company. Their response? They had delivered the napkins.

The hotel said they hadn’t received them.

The rental company said they had.

And no one could figure out where several hundred napkins had disappeared to.

At that point, we could have spent the next hour trying to solve the mystery. Instead, we focused on the actual problem: We needed napkins and we needed them fast!

We worked with the after-hours staff at the rental company to arrange an emergency delivery of additional napkins. Problem solved.  Guests arrived, the event went on, and—most importantly—almost nobody knew there had ever been a napkin crisis.

The lesson: When something goes wrong, don’t waste time looking for someone to blame. Figure out what needs to happen next and solve the problem.

🏷️ The Name Tag Nightmare

Imagine guests arriving at cocktail hour, grabbing their name tags, and heading toward the tables.

Except there is one tiny problem.

Every. Single. Name Tag. Has. The. Same. Table Number.

Cue the panic.

With guests already arriving, there was no time to reprint the name tags and start over. Fortunately, we had the correct seating assignments available separately. The GFS team quickly stepped in, checking each guest's table assignment and personally directing them to the right location. By working through the problem in real time, we made sure everyone knew exactly where they were supposed to sit.

By the time dinner began, everyone was in the right seat, and most guests never knew there had been a seating chart horror story unfolding behind the scenes.

The lesson: Sometimes the backup plan is simply having an experienced team that can think on its feet. When something goes wrong minutes before guests arrive, staying calm and finding a solution together will keep the event running smoothly.

🕸️ The Surprise Guest Speaker

Imagine being minutes away from the start of your event when you find out that an unexpected guest speaker is about to take the stage.

We had been told that if a certain individual attended the event, he would be invited to speak. We had a slide prepared just in case, but no confirmation that he was actually coming.

Then, just minutes before the event began, he arrived!

Suddenly, our team was scrambling to notify the AV crew, brief the auctioneer and adjust the program to accommodate a speaker who had no script, no rehearsed remarks and no set speaking time. We had absolutely no idea what he was going to say or how long he would speak.

And then something wonderful happened. He was fantastic! He spoke longer than anticipated, but he had the audience completely riveted. What could have been a logistical nightmare turned into one of those unexpected moments that made the event even more memorable.

The lesson: Not every unexpected change is a disaster. Sometimes the best moments are the ones you never planned. The key is having an experienced team that can pivot quickly, communicate effectively and make room for a little spontaneity without losing control of the event.

🧟 The Checkout Monster

You made it through the program. The paddle raise was a success. Everyone is feeling great.

And then 200 people decide they’re ready to leave at exactly the same time.

Suddenly, the checkout line is growing. Auction items need to be collected. Guests can’t remember their bidder numbers. Someone’s winning item is nowhere to be found.

Checkout is often an afterthought, but it can have a huge impact on the final impression of your event.

A little planning goes a long way: Have enough people helping, make sure volunteers know their roles, organize auction items clearly, and think through how guests will actually move through the space.

The lesson: Your event is not over when the paddle raise ends. A smooth checkout experience is just as important as a smooth check-in. Do not let the final 15 minutes undo the positive experience you spent the entire evening creating.

💻 The Software That Chose the Worst Possible Night to Update

Nothing says “sweet dreams” like discovering your event software has decided to update the night before your event.

Suddenly, settings have moved, features look different, and the thing you have been relying on for weeks is behaving just differently enough to make you nervous.

Rather than leave it to chance, the GFS team triple-checked all of the event settings, tested the registration process, and made sure everything was working exactly as it should.

Come event day, registration ran smoothly—and the software stayed in its lane.

The lesson: Never assume that something will work just because it worked yesterday. When technology is involved, test it, test it again, and then test it one more time before guests arrive.

🎃 The Scariest Event Is the One You’re Not Prepared For

We can’t promise that everything will go perfectly at your next event. Missing rentals, last-minute cancellations, technical glitches and the occasional tipsy guest with a microphone are all part of the job.

What we can do is help you prepare for the unexpected. The best event producers are not the ones who never encounter a problem. They are the ones who know how to handle it quickly, calmly and often before guests even realize there was a problem in the first place.

Because the difference between an event-day nightmare and a minor hiccup often comes down to having the right people and the right plan in place.
